At TracSpare, we supply agricultural spare parts from India to B2B customers across international markets, including East Africa and the Gulf. This Shipping Policy provides general information about how shipping and export enquiries are handled.

Final shipping costs, delivery terms, and timelines will be confirmed as part of the quotation process.

1. Shipping Destinations

TracSpare supports domestic and international shipping, subject to product availability, destination, carrier availability, and applicable import/export regulations.

Our primary export markets include:

  • East Africa
  • Gulf countries
  • Other international destinations upon request

If your country is not listed or you are unsure whether we can ship to your location, please contact us before submitting your order requirements.

2. How Shipping Is Arranged

TracSpare operates through a request-a-quote model. Shipping is therefore not automatically calculated or charged through the website.

When requesting a quotation, please provide your required products, quantities, destination country, and any relevant delivery information.

Our team will review the enquiry and provide applicable shipping options as part of the quotation.

3. Shipping Costs

Shipping charges vary depending on factors such as:

  • Destination country and city
  • Shipment weight and dimensions
  • Product quantity
  • Shipping method
  • Carrier or freight provider
  • Packaging requirements
  • Customs and documentation requirements
  • Current freight rates

Unless specifically stated otherwise, prices displayed in the product catalogue should not be assumed to include shipping costs.

4. Shipping Methods

Depending on the size, weight, urgency, and destination of the shipment, available shipping methods may include:

Air Freight — Suitable for urgent or relatively smaller international shipments.

Sea Freight — Suitable for larger or bulk shipments where cost efficiency is more important than delivery speed.

Courier / Express Delivery — May be available for smaller spare-parts shipments.

Domestic Transport — May be arranged for eligible deliveries within India.

The available method will be discussed and confirmed during quotation.

5. Estimated Delivery Times

Delivery times vary depending on the shipping method, product availability, destination, and customs procedures.

Any delivery timeframe communicated by TracSpare should be considered an estimate unless specifically confirmed otherwise.

International shipments may be affected by circumstances outside our control, including customs clearance, carrier delays, port congestion, weather conditions, public holidays, or regulatory requirements.

6. Order Processing

Shipping arrangements begin only after the applicable quotation and order requirements have been confirmed.

Processing time may depend on:

  • Product availability
  • Quantity requested
  • Packaging requirements
  • Payment confirmation
  • Export documentation
  • Carrier availability

For large or specialized orders, additional preparation time may be required.

7. Minimum Order Quantity (MOQ)

Some products have a Minimum Order Quantity (MOQ).

Customers must request at least the specified MOQ for those products. MOQ information is displayed on the relevant product page and is also considered when preparing the final quotation.

8. Packaging

Products are packed appropriately based on their type, quantity, destination, and selected shipping method.

For international or bulk shipments, additional export packaging may be used where required to help protect products during transportation.

Any special packaging requirements should be communicated when requesting a quotation.

9. Customs, Duties and Import Taxes

International shipments may be subject to:

  • Import duties
  • Customs charges
  • Local taxes
  • Clearance fees
  • Port or handling charges
  • Other destination-country fees

Responsibility for these charges will depend on the commercial and shipping terms agreed for the order.

Where applicable, these responsibilities will be clarified in the final quotation or shipping documentation.

10. Customs Documentation

TracSpare may provide applicable commercial and export documentation required for international shipments.

Documentation requirements vary by destination and shipment type.

Customers are responsible for providing accurate consignee, delivery, tax, registration, or other information required for customs clearance in their country.

Where an HS code has not yet been confirmed for a catalogue product, it will be shown as “Confirmed at quotation” and finalized during the quotation process.

11. Shipping Address

Customers are responsible for providing complete and accurate shipping information.

Please carefully verify:

  • Company/recipient name
  • Street/address information
  • City
  • State/region
  • Postal code, where applicable
  • Country
  • Contact number
  • Email address

TracSpare is not responsible for delays or additional costs resulting from incorrect or incomplete information supplied by the customer.

12. Shipment Tracking

Where tracking is available, shipment or carrier information may be provided after dispatch.

Tracking availability depends on the selected carrier and shipping method. Certain freight shipments may use documentation or freight references instead of standard parcel tracking.

13. Delivery Inspection

Customers should inspect shipments as soon as reasonably possible after delivery.

If packaging appears significantly damaged during transit, customers should document the condition with photographs and notify TracSpare promptly.

Please retain the original packaging and relevant shipping documentation while any delivery issue is being reviewed.

14. Delayed Shipments

Although we aim to support reliable delivery, international shipping may occasionally experience delays beyond our control.

Potential causes include:

  • Customs inspections
  • Carrier delays
  • Port congestion
  • Weather conditions
  • Transportation disruptions
  • Government restrictions
  • Documentation issues
  • Force majeure events

We will provide available information and reasonable assistance where a shipment experiences an unexpected delay.

15. Lost or Damaged Shipments

If a shipment is lost or arrives damaged, please contact TracSpare with the relevant order or quotation reference, shipment information, and supporting photographs where applicable.

Any claim will be reviewed according to the applicable carrier, insurance, shipping terms, and commercial agreement.

16. Changes to Shipping Details

If you need to change your shipping information, please contact us as soon as possible.

Once a shipment has been dispatched, changing the destination may not be possible and may result in additional carrier charges.
